Privacy at AYZYNX

This notice explains in plain language what information AYZYNX processes when hotels enquire, onboard and operate the AI Concierge or optional AI Receptionist.

Information we collect

We process business and contact details submitted by prospects and hotels, account and agreement records, service configuration, installation status, hotel-approved knowledge, guest questions, conversation and call text, masked telephone routing information, service outcomes, leads intentionally submitted by guests, and technical security or usage logs.

How information is used

We use this information to respond to enquiries, provide and secure the service, answer guest questions, route agreed staff follow-ups, display tenant analytics, administer subscriptions, prevent abuse and improve service reliability. We do not sell personal information.

Service providers

AYZYNX uses infrastructure, web hosting, AI, payment, telephone, email, form, weather and place-information providers to operate the selected service. Stripe handles subscription card details; AYZYNX does not receive full card numbers. The current Subprocessors page identifies important providers and their roles.

Sensitive information

Guests should not enter payment card details, identity documents, health information or sensitive booking data into the concierge. Reservation changes and sensitive requests should use the hotel’s approved secure channels.

Telephone privacy

When telephone service is active, the greeting identifies the AI role. AYZYNX may retain a text transcript, intent, outcome, escalation state, duration and summary to provide the service and client reporting. AYZYNX does not store raw call audio by default. A hotel must agree any different recording arrangement and provide the notices required for its callers.

Retention and rights

Information is kept while needed to provide and secure the service and for applicable support, billing, dispute and legal records. Cancellation does not cause immediate deletion. People may ask about access, correction, deletion, restriction, objection or portability where applicable by emailing contact@ayzynx.com. AYZYNX may need to verify identity and the relevant hotel before acting.

Lawful use and complaints

AYZYNX relies on the applicable contract, legitimate interests, legal duties and consent where consent is required for a particular activity. Questions or complaints should first be sent to contact@ayzynx.com. Individuals may also have the right to complain to the UK Information Commissioner’s Office.

Hotel responsibilities

Hotels control the information they approve for their concierge and should ensure their own website privacy notice explains relevant guest-data processing. The accepted service agreement records the operational relationship between AYZYNX and the hotel.
